Executive Director's Report
September 16, 2011

Since the June 23-24, 2011, meeting of the PAC-TE Board of Directors, I have engaged in the following association-related activities:

TEA 2011

  • scheduled the 42 small group sessions
  • informed small group session presenters of the day and time of their presentation
  • solicited small group session presiders from among directors, TEA planning committee, and small group session presenters
  • outlined needs for TEA student help to volunteering institution
  • worked with Post Baccalaureate and Graduate Educational Focus Group facilitators to schedule TEA invitational sessions and distributed information on these sessions through the Dean’s Forum and the Grad Forum
  • contacted and scheduled time, room and food for PASSHE PDS, PASSHE Field Directors, and PA-POMLE meetings at the TEA
  • scheduled PAC-TE Newcomers/ TEA Proposal Writing Session at the TEA
  • scheduled Board of Directors, TEA 2012 Planning Committee, Spring Conference Committee, and Government Relations Committee meetings at the TEA
  • announced the availability of display tables for focus groups and institutions
  • worked with Holiday Inn staff to finalize schedule, facilities use, meals and beverages
  • finalized the TEA program schedule, posted the program to the Web site, and established a link from our TEA electronic newsletter
  • developed, had printed, e-mailed, and mailed the TEA NewsNotes
  • asked the Dean’s Forum chair to distribute the electronic TEA newsletter to Dean’s Forum members
  • contacted keynote speakers to arrange details of travel, presentation title and description, and payment
  • arranged for PAC-TE members to support each keynote speaker
  • obtained the assistance of a graduate student full time as conference registration assistant
  • scheduled presiders, registration workers, polls workers
  • ordered expanding wallets for conference materials, 40th anniversary certificate holders, and name badge ribbons
  • purchased name badge inserts, certificate papers, folders, and labels
  • updated evaluation forms, presider packet letters, presenter packet letters, registration directions, meal tickets, name badge and envelope label formats
  • arranged for clerical assistance in generating name badges/labels and stuffing registrant envelopes
  • designed 40th anniversary certificates
  • participated in and supported a meeting of the TEA 40th anniversary committee
  • compiled from files and archives a draft 40-year history of PAC-TE, to include officers, Teacher Educators of the Year, Friends of Education, spring conferences, and TEA dates, locations, themes, and chairs
  • sent the 40 year history to the Board, planning committee, and past leaders, asking them to provide contact information and missing information for the history
  • invited past leaders to the 40th anniversary and to provide comments for a 40th anniversary booklet
  • processed registration forms, forwarding checks to the Treasurer

Teacher Education Assembly 2012, 2013, and 2014

  • booked the State College Sleep Inn meeting room for the TEA 2012 planning meeting on December 2, 2011
  • made further contact and analyzed responses from Harrisburg and State College hotel conference centers to our RFP and prepared a report and recommendation for the Board of Directors September 16 meeting as per the TEA site for 2012-2014

Annual General Business Meeting 2011 – drafted agenda

ATE

  • renewed the executive director’s membership in ATE
  • developed, had printed, and mailed bookmarks and TEA flyers for insertion into the August 5-9, 2011, Philadelphia ATE Summer Conference packets
  • arranged for and coordinated staffing of a PAC-TE table and snacks/beverages in the registration area at the ATE Summer Conference on August 6, 2011
  • advertised to ATE state units and PA pre-registrants, prepared a PowerPoint presentation and handout packets for, and co-presented with President Savitz and TEA Chair Orlando a feature session on PAC-TE Advocacy, Professional Development, and Management Initiatives at the ATE Summer Conference

Board Support

  • posted reports from the June 23-24, 2011 Board meeting and the minutes of the April 13, 2011, Board meeting to the PAC-TE Web site
  • prepared for the September 16, 2011, Board meeting to include agenda development with the Executive Committee
  • conducted a phone orientation with incoming director, Keith Dils
  • compiled status of director PAC-TE membership, TEA registration, and ATE membership and contacted directors as relevant
  • consulted with the Treasurer on 501c3 application

Insurance

  • received bonding, general liability, and directors/officers liability insurance policies, effective July 1, 2012

Nominations and Elections

  • prepared ballot and candidate information for absentee mailing and TEA polls

Awards

  • distributed a second and third call for nominations for the 2011 Teacher Educator of the Year award
  • contacted outgoing directors as to charity choices for service awards and processed letters and checks to the chosen charities, copied to the directors

Technology Integration

  • published and e-mailed via Constant Contact our first electronic newsletter, promoting the TEA 2011
  • outlined upgraded Web site and Web-based form requirements and language

Bylaws and Policies

  • made the June 23 Board-approved changes to the bylaws revision document and revised the revisions explanatory chart
  • added bylaws vote to the absentee and TEA ballots
  • identified policies needing immediate action as a result of the bylaws revision for review of the Board on October 27

Membership

  • processed membership forms, forwarding checks to the Treasurer
  • e-mailed individual members and contact persons at institutions that had not renewed as of August 29, 2011
  • contacted focus group facilitators as to their interest in continuing in 2011-2012, the TEA focus group facilitators meeting, the TEA focus group meetings, and timelines for submitting information for Board meetings and publications

Member Communications

  • sent numerous Tidbits e-mails to the membership – PDE weekly e-mails, EPLC newsletters, position announcements, and advocacy updates
