Executive Director's Report
January 13, 2012Since the October 27, 2011, meeting of the PAC-TE Board of Directors, I have engaged in the following association-related activities:
Teacher Education Assembly 2011
- posted PDE and Donna Wiseman PowerPoint presentations to the PAC-TE Web site and informed members
- conducted an exit interview with the conference hotel sales manager, to include our decision to move to a different conference site for 2012-2014
- provided prize winners with certificates for free 2012 spring conference and TEA registrations
- processed on-site registration forms and invoices, forwarding checks and invoices to the Treasurer
- prepared a report summarizing TEA expenses and revenue, which was shared with the TEA 2011 and TEA 2012 Planning Committee chairs and the Board of Directors
- prepared and e-mailed thank you notes to planning committee members, small group session presenters and presiders, registration and polls workers, student workers, institution-alike facilitators, and institution display contacts (The TEA chair sent thank you notes to general session speakers.)
- mailed 40th anniversary certificates to honorees, presenters, and presiders not in attendance or who did not pick up their certificate at the TEA
- prepared a compilation of TEA registration statistics overall and by time period, which was shared with the TEA 2012 planning committee and the Board of Directors
- completed compilations and copying of small group session evaluations and mailed to presenters who did not pick up their evaluations at the TEA; provided originals to the TEA 2012 Planning Committee Chair
- prepared a compilation of the TEA evaluations, which was shared with the TEA 2012 Planning Committee and the Board of Directors
- posted the PAC-TE history booklet to the Web site
- reported on the TEA in the January 2012 NewsNotes
Teacher Education Assembly 2012
- worked with our new TEA site, the Best Western Premier the Central, Harrisburg, and the planning committee chair to prepare for the December 2 planning committee meeting
- prepared materials for and compiled and distributed minutes of the October 27 and December 2 planning committee meetings
- based on the planning committee decisions revised the TEA schedule and the small group sessions timeline, call for proposals, proposal form and review form
- distributed the Call for Proposals to the membership via post card, e-mail and Web post
- assigned and announced proposal review groups
- scheduled and announced April 17 and 18, 2012, planning committee meetings
- announced the new TEA site and 2012-2014 dates at the Annual General Business Meeting packets, to the 2012 planning committee, in a presidential Tidbits, and in the January 2012 NewsNotes
ATE
- compiled and sent to Mary Dupuis additional materials for and reviewed drafts for the PAC-TE application for the 2011 ATE Unit Awards
- compiled and sent the ATE 2011 Unit Report to the ATE Executive Director
- forwarded names and contact information for PAC-TE delegates to the February 2012 ATE Delegate Assembly
- forwarded for payment of the ATE Unit Council of Presidents Dues
Board Support
- posted reports from the October 27, 2011, Board meeting and the minutes of the September 16, 2011, Board meeting to the PAC-TE Web site
- prepared for the January 13, 2012, Board meeting to include agenda development with the Executive Committee
- consulted with the Treasurer on the preparation of IRS Form 990EZ
- in collaboration with the Treasurer prepared and submitted a Form 1023 application for recognition of tax exemption under 501c3
- researched the IRS restrictions for 501 c 3 organizations as per political and legislative activities
- prepared conflict of interest statements for Board signature
Nominations and Elections
- e-mailed successful candidates as per term, meeting dates/places, duties as per bylaws and policy, and PAC-TE/ATE membership requirement
- e-mailed unsuccessful candidate to include appreciation for being willing to serve
- announced successful candidates in the January 2012 NewsNotes
Membership
- processed membership forms, forwarding checks to the Treasurer
- sent customized e-mails to contact persons and current members at institutions which had not renewed as of January 2, 2012 (4th contact)
- sent customized membership e-mails to individual members who had not renewed as of January 6, 2012 (4th contact)
- e-mailed individuals who registered for the TEA as members but are not members encouraging membership
- encouraged membership in the January 2012 NewsNotes
Member Communications
- prepared and distributed electronically the January 2012 NewsNotes
- sent numerous Tidbits e-mails to the membership – PDE weekly e-mails, EPLC newsletters, position announcements, and information updates
